Moving Day HOA Rules: What You Don’t Know Can Delay Your Move

If you’re moving into or out of a condo, gated community, or high-rise in South Florida, there’s a good chance your homeowners association has specific move-in and move-out policies. These rules can impact everything from your moving schedule to where the truck can park. Miss a step and your whole move could get delayed or canceled.

Why HOA Rules Matter on Moving Day

img11HOAs are known for their order and structure, and while that’s great for everyday living, it also means they often have strict guidelines in place for moves. 

These HOA moving regulations vary by property, so it’s important to check first; they likely include policies on elevator reservations, truck access, and scheduling limitations.

The good news is that with a little preparation and communication, you can avoid surprise delays and fees.

Gather and Submit All Required Documents

Many HOAs in South Florida require a Certificate of Insurance (COI) from your movers, and sometimes other documents as well. These need to be submitted in advance and approved by the HOA board or property manager. 

Waiting until the day before, or the morning of, can get your move denied.

Our moving company recommends that you:

  • Ask for a full list of required documents
  • Have your moving company send the COI directly to the HOA
  • Follow up to confirm it’s approved\

Confirm Arrival Times and Truck Access Rules

img12Another often-missed detail is the hours your building allows moves and how many trucks can be on-site at once.

HOA Rules typically include:

  • Approved move-in/move-out hours (often weekdays, 8 AM to 5 PM)
  • Prohibited move days (many don’t allow weekend or holiday moves)
  • Truck size and quantity restrictions
  • Assigned loading zones or limited parking access

If your movers show up outside the posted timeframes, they may be turned away and you could be fined. That’s why it’s crucial to request the HOA Moving Regulations by email, so you have them on hand. 

“This is especially true of high rises as they only allow a certain number of trucks at a time,” says Genzia, the manager of Moving With Sebastian.

Reserve Elevators Early (And Confirm It’s Yours)

If you’re moving into a gated condo, apartment, or another type of building with an elevator, don’t forget to reserve it ahead of time. Even if you’ve already scheduled your move, it’s smart to double-check that the elevator is included in that reservation. 

Many buildings only allow one move at a time, so elevator access can be limited.

Recently, one of our teams showed up for a move in Miami, only to find that another moving company had already reserved the elevator. We had to leave and come back the next day. Thankfully, the building had availability, but in some places, you might have to wait days or even weeks to get another time slot.

To avoid this, ask your HOA:

  • Is a reservation required?
  • Are there time blocks or fees involved?
  • Will someone be on-site to unlock or pad the elevator?

Try not to just take a verbal confirmation; it is helpful to get it in writing.

Plan for Parking and Permits

Parking is a big issue in many South Florida communities, especially in gated areas and condos with limited street access. Some associations require advance notice or even special permits for large trucks.

To avoid day-of confusion:

  • Ask where your movers should park
  • Reserve guest/vendor parking if needed
  • Send your movers photos or a map of the loading area

A quick heads-up can save you a big headache.

Consider South Florida’s Weather & Seasonality

If you’re planning a moving day between June and November, keep hurricane season in mind. Sudden storms or flooding can delay your move or impact elevator and power access. We always recommend having a backup plan (and insurance!) in place during this time of year.
